AutoAnything, Inc.  is looking for an Executive Administrative Assistant to join our dynamic Team!

 

As Executive Administrative Assistant at AutoAnything Inc., you will provide comprehensive and high-level support to our President, Human Resources and Executive Team Members. You will provide all administrative duties assigned, as well as support internal Teams with a wide range of facilities and administrative duties.

 

BROAD SPECTRUM OF DUTIES & RESPONSIBILITIES:

Executive Support: The primary role will be to support the President of AutoAnything, Inc.

 

Responsibilities include:

Coordinate and oversee the completion of special projects/presentations as needed

Maintaining executive's appointment schedule by planning and scheduling meetings, conferences and teleconferences

< >repare reports by collecting and analyzing information

Review voicemail messages/emails

Greeting clients and vendors

Answering phones and making phone calls

Receiving, reviewing/reading and sending emails

Running errands

Booking travel and meetings

Meeting note taking and defining next steps/action items post meetings

Ordering office supplies and other miscellaneous items as needed

Filing and scanning documents

Preparing business documents such as: invoice, expense reports, miscellaneous reports, letters, financial statements and other correspondence/media as needed.

Creating/organizing company activities and lunches

Setting meeting agendas and keeping meetings on-track

Acting as the “gate keeper” as needed for the president to allow him the freedom to accomplish much more with superior judgement as to which items require his attention

Someone who learns and adapts to the needs and wants of the executive and confident in making the same decision the executive would make

Miscellaneous  personal tasks needed for the executive

 

Executive Team Support:  To support the Senior Management Team:

Coordination of presentation materials

Department lunches

Administrative support/research

Expense reports and other misc items

 

QUALIFICATIONS:

 

1-2 years minimum experience preferred but not required

Must be Team oriented, self-motivated and able to multi-task.

Demonstrated interpersonal communication skills to interact professionally with a diverse population.

Need to have a passion for technology (Internet and technology savvy)
Proficient with email
Ability to work well with others
Must be able to type at least 60 WPM - Test will be required
Short Microsoft office (excel and PowerPoint) test required
Must be a fast learner and have a desire to learn new things
Willingness to wear many different hats
Must be able to work well under pressure
All applicants must pass background check
Problem solving skills
Must be available at all times

 

EDUCATION AND EXPERIENCE (INCLUDING CERTIFICATIONS):

High School Diploma/GED (Bachelor’s Degree preferred)

Effective verbal and written communication skills

Strong knowledge of Microsoft office, including Word, intermediate Excel skills and PowerPoint.
